Volunteer Job Details
We are currently looking for volunteers for the following jobs:
The Thursday night Food Truck Rodeo and the Friday night Gala Dinner will have live music as is appropriate for each event.
- Work with the Events Committee to identify bands/musicians to play for the events (Note, The Tall Boys have already been asked and are anticipating involvement)
- Build a volunteer team; communicate with Eileen Eininger to let her know how many people you need and what they will be doing.
- Communicate with musicians to ask for their involvement.
- Network with sponsorship committee for any needs to pay or comp the musicians for the event.
- Arrange logistics for band with individual event coordinators; Food Truck rodeo and Gala Dinner. This includes staging and equipment, timing of the event and timing of the music.
- Have someone present at the events to assist the musicians.
- Direct any other volunteers helping with music at the events.
- Attend Events Committee meetings prior to the event on an approximate three week schedule.
- Communicate with Julie Bryan and Laura Matter as events team leads throughout the planning process.
- Add information to the pertinent Events pages on the Google web site.
- Communicate by email to the Events Committee and Committee of the Whole.
- Communicate with promotional volunteers for PR needs.
- Work with the Events Committee to identify a caterer for the luncheon; preliminary ideas already available. RFPs are going out now.
- Build a volunteer team for day of event; communicate with Eileen Eininger to let her know how many people you need and what they will be doing.
- Communicate with caterer to pick luncheon options; review with Events Committee.
- Identify location to hold luncheon; preliminary ideas already available.
- Identify equipment needs for the luncheon; microphone, etc.
- Communicate with Facilities Committee to arrange location and equipment on campus.
- Communicate with sponsorship committee to identify level of sponsorship and cost for caterer and luncheon facility.
- Communicate with Facilities Committee on rules and regs for providing food to attendees on UW property.
- Explore liquor opportunities for luncheon and rules for use on campus.
- NOTE: There is a preliminary plan to work with local growers to provide some of the food we will be using for this luncheon.
- Attend Events Committee meetings prior to the event on an approximate three week schedule.
- Communicate with Julie Bryan and Laura Matter as events team leads throughout the planning process.
- Add information to the pertinent Events pages on the Google web site.
- Communicate by email to the Events Committee and Committee of the Whole.
- Communicate with promotional volunteers for PR needs.
- Coordinate snack options for all four days of ACGA conference with Events Committee. We have started this process.
- Build a volunteer team for days of the event; communicate with Eileen Eininger to let her know how many people you need and what they will be doing.
- Develop table of snack-times for event.
- Communicate with Sponsorship Committee on needs for snacks; types and amounts.
- Communicate with Facilities Committee on rules and regs for providing food to attendees on UW property.
- Communicate with possible growers for fresh fruit and veggie options for event; some preliminary info already in development on this.
- Be available during the event.
- Attend Events Committee meetings prior to the event on an approximate three week schedule.
- Communicate with Julie Bryan and Laura Matter as events team leads throughout the planning process.
- Add information to the pertinent Events pages on the Google web site.
- Communicate by email to the Events Committee and Committee of the Whole.
- Communicate with promotional volunteers for PR needs.
- Coordinate event with Event Committee.
- Coordinate with Sponsorship Committee on needs for coupons from local restaurants.
- Communicate with restaurants to create offering specials/coupons.
- Coordinate graphics needs for coupons with graphics volunteers.
- Attend Events Committee meetings prior to the event on an approximate three week schedule.
- Communicate with Julie Bryan and Laura Matter as events team leads throughout the planning process.
- Add information to the pertinent Events pages on the Google web site.
- Communicate by email to the Events Committee and Committee of the Whole.
- Communicate with promotional volunteers for PR needs.
